Owner Portal

Please click here for instructions on how to set up a login for the owner portal. PLEASE NOTE: If you do not enter in your address exactly as shown on your registration letter, the system will not recognize your address. Example: If your registration letter shows 123 Main Street, the system will not recognize your address if you enter in 123 Main St.

Contact us at sfmcinfo@sfmcinc.com if you still have issues creating a login after reading the instructions.

Q: Can I have one login if I own multiple properties?

A: No, you must create an unique user name and password for each property that you own.

Q: I have correctly created an account, and the portal will still not let me log in.

A: If your assessment account is at the association’s attorney for non-payment, you will not be able to login to the portal.

Emergency Contact

SFMC is open Mon-Fri, from 9am – 5pm. If you have a non-life-threatening emergency (ex. vehicle towing, pool passes, lost keys, etc.) after hours, call SFMC’s emergency number (888)-980-8958 and your SFMC Community Manager will be contacted immediately. If you have a possibly life-threatening emergency such as a gas leak, fire, medical emergency, contact the appropriate authorities immediately.

Payments

Can I pay my HOA (to Community Association payment) with a credit card?

Yes credit cards are accepted. Please reference your payment coupon when choosing the online payment option. If you do not have this information, contact SFMC at (888)775-6611.

How can I find out how much my HOA fees are and when they are due?

If you’ve recently purchased your home, this information is included in the disclosure package you should have received from the previous owners upon making your purchase. You will also receive payment coupons which will identify your assessment fees for your unit. Coupons and a welcome book are mailed out from SFMC after your settlement company and/or settlement attorney forwards a HUD-1 identifying that the home has been sold.

Where can I mail my payment?

You can mail your HOA/Condo payment to your Association: c/o SFMC, PO BOX 66571, Phoenix, AZ 85082 – Attn: (Your Community Name). Any HOA/Condo payments that are received in our corporate office in Manassas are forwarded to the lockbox in Phoenix and may delay the credit to your account.

How do I set up an Automatic Debit account to pay my HOA fees?

Simply complete the AUTOMATIC DEBIT LETTER, attach a voided check (for bank account information), and fax (703)392-5039 or mail to SFMC at 9464 Innovation Drive, Manassas, VA 20110. Please allow 14 business days for your account setup.  If you do not received confirmation of enrollment contact us.

Direct Debit/ACH is processed on the 2nd business day of the month and is deducted from the participants bank account on approximately the 4th business day o the month.

Please monitor your bank account to ensure payments are being processed, the owner is responsible for ensuring payments are made on time.

Selling Your Property

I want to sell my property, what do I need to do?

Disclosure Package

Virginia Law requires that sellers selling a property belonging to an HOA or Condo Association provide the buyer with a disclosure package. The disclosure package includes information regarding the property’s HOA dues, rules and regulations of the HOA, and other pertinent information like parking and community facilities. For more information on requesting a disclosure package, please return to the home page and click on the link that says “Buy Docs” or contact CondoCerts directly at 1-800-310-6552. (Please see the MORE INFO section Request Disclosure on the left side of your COMMUNITY INFO page.)

HOA/Condo Certificate

You may also be required to provide an HOA or Condo certificate – check with your real estate agent. This certificate is often required at settlement as notice of the HOA account standing. For more information on requesting a certificate, return to the home page and click on the link that says “Buy Docs” or contact CondoCerts directly at 1-800-310-6552.

Notification to SFMC

Please make sure your settlement company and/or settlement attorney fax to (703) 392-5039 or mail a copy of the settlement statement to SFMC at9464 Innovation Drive, Manassas, VA 20110. This provides notice to SFMC that the property has been sold – we are then able to update our records so that information is sent to the new owner.

Pass on those important items

Make sure you give the new owner any pertinent items in addition to the disclosure package, including parking passes, pool passes, mailbox keys, etc.

  3. Please keep the user name and password you created somewhere safe (you will need this again)
  4. An activation email will be sent to the email that you used to register to activate your account

Ready to place an order?

  1. Go to this website.
  2. Put in your username and password and login
  3. Type in the name of the Association. You can abbreviate or shorten the name to widen your search.
  4. You MUST enter the state, but if you are unsure of the city you may put an * to search the entire state.
  5. This will take you to the screen that will enable you to choose the type of product you require.
  6. Enter all necessary information on the form. (if you do not have a buyer or an escrow number you may enter “TBD”)
